Printer Rental vs Print Management
Printer hire and managed print services are very similar, and often used interchangeably as terms in the printing industry. However, there are a few minor differences:
Standard Printer Rental
In the Standard Printer Lease Agreement, you pay a monthly fee to the finance company for the lease of your photocopier or printer. You then pay the hardware provider (in this case, DDS) a cost per copy for the maintenance agreement, which includes all the toner, parts and basic onsite service. You will receive two invoices per month, and the agreement is generally 60 months.
Standard Printer Lease Plans will be ideal for companies that already have an existing IT division or team that can handle all print service and maintenance tasks.
Print Management or Managed Print Services
With our Managed Print Services, you get only one single monthly invoice that covers the leasing and maintenance agreement of the machine, and this includes a specified amount of prints each month. DDS also offers priority service for print management clients. We have packages to suit all sized businesses, and can customise a solution to suit your requirements.
Managed Print Plans are also more flexible:
- The minimum amount of prints can be adjusted if they are consistently under or over achieved
- The agreement term can be concluded earlier or extended, depending on the print volumes
- More photocopiers can be added at any time, if needed
Managed Print Services will also help you manage costs, security, privacy, maintenance, supplies, and document tracking, among other things. This means you can outsource every aspect of your printing needs without having to burden your internal IT team. Managed Print Services are suited for all businesses with a high print demand.

Q. Is there a limit on the amount of time I can rent a printer/photocopier for?
It’s most financially beneficial to lease a photocopier for 60 months and this also lines up with the lifespan of most photocopiers. However we are flexible and can provide alternative term options.
Q. Does the monthly rental cost include refills, repairs and maintenance?
A rental by itself does not cover those things, however we always suggest a maintenance agreement alongside your rental which does include all toners, parts, consumables and onsite service of your machine. If you choose a Print Management option, these are all automatically included.
Q. If the rented printer breaks down, is it covered under warranty?
Most large photocopiers are only covered under manufacturer warranty for 3 months which is why a maintenance agreement is so important. It gives you peace of mind knowing there’s no large unexpected costs coming your way from a copier malfunction. Smaller printers can have warranties lasting from 1 – 3 years depending on the manufacturer.

A. Absolutely, all our sales and agreements include delivery, installation and training by our own internal installation team. Our techs are equipped with stairwalkers to ensure your photocopier can go in the best location, even if that’s up a flight of stairs.
Q. What areas do you deliver to?
A.We have 4 branches in Victoria, Moorabbin (Melbourne), Geelong, Bendigo and Ballarat. However we also are part of an Australia wide dealer network which we partner with to install and service our customers across Australia.
Q. Can I rent a document scanner?

Q. Do you lease copiers or printers for construction/engineering/building projects, sites and centres?
A.Yes, we have several high profile companies who regularly require us to relocate their photocopiers across their changing build sites, as well as store them in between. Please discuss this with us so we can work out the most beneficial way to support your needs.
Q. Can I rent a photocopier or printer for a short period of time, i.e. for a Festival / Community Event, Trade Show Conventions, Corporate Events, Expo, Conferences, Sporting, Training or other special function events?
A.Yes, we can provide short term photocopier hire. We have to do custom pricing for this service based on individual circumstances.
Q. How soon can I receive the copier once the plan has been agreed to?
A.VERY SOON! It’s very rare that we don’t have a machine in stock. If you have an urgent need for a new photocopier, please just let us know and we will make it happen.
Q. If our usage exceeds the limits of the copier, can we upgrade the device?
A.Yes, our agreements are flexible in the way that you won't be stuck with a device that doesn’t handle the job.
Q. If the device breaks down and we need service, how fast will your technician respond?
A.We have guaranteed <4hr response times for break down service calls.(4 business hours).
